Search Check-A-Charity by the legal name and registration number, then save the status, expiration, reported financial period, public names, and date checked. Compare that record with the last approval, renewal notice, account email, and any deficiency letter. Florida law says registration expires when a required organization fails to file its renewal statement or fails to provide the financial statement within an allowed extension period.
Do not assume every missing or expired record has the same cause. The organization may have missed the renewal, relied on an incomplete financial extension, changed names, exceeded the small-charity threshold, used a professional fundraiser, or stopped soliciting. Also test any claimed statutory exemption against current facts. A corporation record or IRS determination does not replace FDACS approval.
Control solicitation until the statement is approved
Section 496.405 provides that a required charitable organization or sponsor may not solicit contributions, have another person solicit on its behalf, or participate in a charitable or sponsor sales promotion before FDACS approves its initial or annual statement. That approval boundary is especially important after expiration: an online receipt or mailed packet does not by itself recreate authority.

A filer that did not receive the renewal can request it from FDACS.
Use the existing number and current legal name, then reconcile addresses, responsible people, related organizations, solicitors, consultants, commercial co-ventures, disciplinary history, and the prior fiscal period. Report officer or director changes within the statute’s shorter update rule when applicable. Keep one controlled dataset so the renewal, financial statement, federal return, contracts, and public disclosures agree.
Rebuild financial support and calculate both fees
The annual financial statement reports the immediately preceding fiscal year. The filing may use the applicable Form 990 information and requires the state schedules and financial support called for by the current application. Florida’s financial-statement depth changes at contribution thresholds, including review or audit requirements at higher levels. Use the current form and statute rather than last year’s workpaper.
Calculate the registration fee from the contribution bands in section 496.405 and keep it separate from the late charge. FDACS publishes a $25 late fee for each month or part of a month after the renewal and financial report were due. If an approved IRS-based financial extension existed, save the submitted Form 8868 and the FDACS extension evidence; the extension covers financial information, not a blanket right to leave the rest of the registration incomplete.

Save the complete renewal, financial materials, contracts, fee workpaper, submission confirmation, payment receipt, deficiency responses, and approval. Then search Check-A-Charity again and confirm the legal name, registration number, current status, expiration, and public financial period. Treat the approval and updated record as the completion evidence.
